Your newest all-terrain crane cost more than your house, your shop, and every pickup in the fleet combined — and right now it is sitting in the yard earning nothing while the loan payment hits like clockwork. That single image explains why crane rental and rigging companies need their own bookkeeping playbook: you are running a capital-intensive equipment business where a seven-figure asset either bills by the hour or bleeds by the day, with nothing in between.
A crane rental company is really three businesses sharing one yard. There is the equipment business (buying, financing, depreciating, and maintaining the fleet), the labor business (certified operators, riggers, and oilers billed by the shift), and the logistics business (lowboys, permits, and mobilization moves that can cost thousands before the first lift). If your books mash all three into "rental income" and "expenses," you cannot answer the only questions that matter: which crane earns its keep, which job actually made money, and how much idle time you can afford.
The Fleet Is the Balance Sheet
For most small businesses, equipment is a supporting actor. For you, it is the balance sheet. A new 100-ton-class all-terrain crane can run three-quarters of a million dollars or more, and large crawlers climb into the millions. How you record those purchases shapes your taxes for years.
Depreciation: the 5-year default and the big first-year write-offs
Construction machinery — cranes included — generally falls into the 5-year MACRS recovery period (Asset Class 15.0 for construction equipment). Under normal MACRS, you would spread the deduction over six tax years because of the half-year convention, with the biggest chunks landing in years one and two.
But few crane buyers take normal MACRS, because two accelerated options usually dominate the decision:
- Section 179 expensing. For property placed in service in tax years beginning after December 31, 2024, the federal limit rose to $2.5 million with phase-out starting at $4 million of total qualifying purchases — enough to expense a crane or two outright. The catch: Section 179 cannot create a loss. If your taxable income is lower than the deduction, the excess carries forward instead of helping you this year.
- Bonus depreciation. The 2025 tax legislation made 100% bonus depreciation permanent for qualified property acquired after January 19, 2025. Unlike Section 179, bonus depreciation has no dollar cap and can create a net operating loss — valuable in a year when you bought big but worked slow.
The ordering matters: Section 179 applies first, then bonus depreciation on the remaining basis, then regular MACRS on whatever is left. Model all three before you sign, because expensing a $900,000 crane in year one feels great until you realize you traded away depreciation deductions in the profitable years ahead. And check your state: many states decouple from federal bonus depreciation, so a purchase that zeros out your federal bill can still leave you owing state tax.
Finance it right in the books
Record each crane as its own fixed asset with its serial number, placed-in-service date, and full capitalized cost — purchase price plus sales tax, delivery, initial rigging and attachments, and any betterments. Track loans separately per unit: when you know each crane's monthly payment, insurance, and maintenance against its monthly revenue, underperformers cannot hide. A crane that "feels busy" but covers only its note and its diesel is a yard ornament with a payment book.
Bare Rental vs. Operated: Two Different Businesses
The single most important split in your chart of accounts is between bare (dry) rental and operated-and-maintained (wet) rental, because the economics are mirror images:
- Bare rental means the customer takes the machine and supplies its own certified operator. Your day rate is lower, but so are your costs — no operator payroll, no crew supervision, and the lift risk largely sits with the customer. Industry planning guides note the rate gap runs several hundred dollars per day.
- Operated rental bundles your NCCCO-certified operator and often maintenance support into a materially higher day rate. You keep more dollars per shift, but you carry the payroll, the workers' comp, the supervision, and the liability that comes with your employee running the lift.
Many independents run a blended book: bare rental to the handful of large contractors with their own certified operators, operated rental to everyone else. Whatever your mix, keep them in separate revenue accounts — ideally per crane class (carry-deck, rough-terrain, truck crane, all-terrain, crawler). An all-terrain averaging $5,500–$11,000 per day operated and a rough-terrain in the $3,200–$6,500 range (published 2026 planning figures for mid-size classes) do not belong on the same P&L line if you ever want to know which class funds the business.
Cost Every Job Like the Crane Leaves Tomorrow
Per-lift job costing is the discipline that separates profitable crane companies from busy ones. Every ticket should accumulate its own direct costs:
- Mobilization and demobilization. Transporting the crane, counterweight trailers, mats, and rigging to and from the site — plus permits and escort costs — is almost always billed separately from lift time. Published planning allowances run roughly $650–$2,500 round trip for truck cranes in metro areas, climbing fast with distance and configuration. If you bury mob in the day rate, distant jobs quietly subsidize themselves with your margin.
- Operator and crew. Where not bundled, planning guidance suggests adding roughly $50–$150 per hour for the operator alone, plus riggers, oilers, and signal persons on complex picks. Track straight time, overtime, and per-diem separately — storm-recovery and industrial-shutdown work lives on overtime.
- Permits, road restrictions, and site prep. Overweight and over-dimensional permits, crane mats, engineered lift plans, and third-party inspections belong to the job that required them, not to overhead.
- Fuel, DEF, and wear. Meter fuel per job where practical. More importantly, accrue maintenance per operating hour (more on that below) so a 60-hour shutdown week shows its true equipment cost instead of looking like pure profit until the next major service.
Quote minimums protect all of this. Many crane providers enforce 4- or 8-hour minimums when an operator is supplied — because a "two quick picks" job still consumes a crew day and a mob cycle. Your price sheet should say so in writing, and your books should prove why: pull last quarter's sub-minimum tickets and show what they really cost.
Idle Yard Time Is Your Biggest Silent Expense
Here is the number that should be taped to your office wall: a company running six common pieces of heavy equipment can lose nearly $209,000 a year to idle equipment costs, and cutting idle time in half can save over $104,000 annually. Contractors estimate equipment — owned or rented — represents about 20% of total costs, which means every unbilled hour is a direct tax on every billed one.
Track utilization the way rental fleets do, not the way contractors guess:
- Utilization rate = billed (or operating) hours ÷ available hours, per crane, per month. A crane at 40% utilization needs either more sales effort or a smaller fleet.
- Cost per operating hour = (ownership cost + maintenance + fuel + insurance) ÷ operating hours. Watch this monthly — when a crane's cost per hour climbs because hours fell, that is the signal to sell, re-rent, or reassign it before it eats a year of profit.
- Idle-time allocation. Do not leave idle depreciation and insurance sitting in a lump called "equipment expense." Allocate idle cost to overhead monthly so job margins stay honest and the cost of a slow season is visible instead of smeared.
These same numbers drive your rent-versus-own decisions. If a specialty attachment or a second rough-terrain bills 200 hours a year, re-renting it from another yard almost always beats owning it. Utilization data turns that argument from gut feel into arithmetic.
People: Certified, Scarce, and Worth Tracking
Federal OSHA rules for cranes in construction require operators to be qualified or certified — in practice, certification through an accredited body, most commonly NCCCO — and customers increasingly demand the credential before your crane crosses their gate. That makes operator certification a business asset with a paper trail:
- Capitalize nothing, track everything. Certification fees, testing, physicals, and recertification are operating expenses, but tag them per employee. When you know you have invested thousands in an operator's credentials, retention bonuses start looking cheap next to replacing them.
- Separate operator payroll from mechanic and driver payroll. Operators bill to jobs; mechanics mostly hit maintenance accounts; lowboy drivers mostly hit mobilization. Departmental payroll lets you see crew cost per billed hour — the labor companion to cost per operating hour.
- Mind the multi-state trap. Shutdown and wind-farm work sends crews across state lines. Track work location by day so state withholding, unemployment insurance, and workers' comp class codes follow the work instead of surprising you at year-end.
Insurance, Inspections, and the Paperwork That Keeps You Legal
Crane work concentrates risk the way cranes concentrate weight — on a small footprint. Your books should show every layer:
- Contractors equipment / inland marine coverage for the fleet itself, scheduled per unit so additions and deletions match your fixed-asset register.
- Riggers liability and riggers legal liability for loads in your care, custody, and control — distinct from general liability, and frequently required by contract before mobilization.
- Commercial auto and oversize liability for the lowboys and pilot cars that move the fleet.
- Workers' comp coded to the correct class — crane operation, rigging, driving, and shop work price very differently, and misclassification is a premium audit waiting to happen.
On the compliance side, OSHA requires regular crane inspections, including a comprehensive annual inspection by a qualified person plus more frequent shift and monthly checks. Book third-party annual inspections per crane, keep the reports with the asset file, and never defer a required inspection to make a month's cash flow look better — the liability arithmetic is obvious.
Smooth the Cash Flow: Reserves Beat Surprises
Crane revenue is lumpy — storm seasons, plant shutdowns, and construction cycles — while payments, insurance, and payroll are metronomic. Three reserves keep the lumps from becoming crises:
- Maintenance reserve per operating hour. Accrue a fixed dollar amount per hour-meter hour into a reserve account for each crane. Wire rope, outrigger seals, hydraulic rebuilds, and ten-year structural inspections are predictable in aggregate even when they surprise you individually.
- Mob-cost float. You often pay permits, escorts, and fuel weeks before the customer pays the invoice. Price mob with margin and track receivables aging per job so one slow-paying general contractor cannot strand two cranes' worth of cash.
- Off-season payroll bridge. If winter idles half the fleet, decide in advance whether operators draw PTO, shift to shop work, or take seasonal layoff — and budget it in October, not January.
Reconcile hour meters to billed hours monthly. Meters that run ahead of invoices mean unbilled time; invoices ahead of meters mean billing errors. Either way, the meter is telling the truth and the paperwork needs to catch up.
