You just landed your first paid job: a real estate agent wants aerial stills and a 60-second video for a $650 listing, plus a roof inspection next week for another $350. You have the drone, you have the shots on your hard drive, and you have a certificate number from the FAA — but when you open your bookkeeping app, the questions start faster than you can answer them. Is that $175 test fee an expense or an asset? Do you depreciate a $2,500 drone over three years or five? If the wind flips your Mavic into a chimney, does your $600 liability policy cover the drone itself? And why does your payout after platform fees never match the invoice you sent?
That confusion is normal, because a drone photography business is not a typical freelance service. It is part licensed aviation operation, part short-lived equipment fleet, and part per-job production studio. Get the bookkeeping wrong and you will overstate profit when you buy gear, underprice the jobs that look profitable on paper, and miss the deductions that were designed for exactly this kind of business. Get it right and every flight, battery swap, and insurance renewal becomes a predictable line item.

Why Drone Bookkeeping Is Different From Other Freelance Work
Three things make drone work unusual on your books:
- You need a federal certificate to legally invoice. Unlike a design or writing business, you cannot fly for hire under 14 CFR Part 107 without a Remote Pilot Certificate. That certificate has costs, a study clock, and a renewal cycle you must track.
- Your main revenue tool depreciates fast and breaks often. A prosumer drone flown commercially rarely lasts five tax years. Crashes, sensor obsolescence, and battery cycle limits mean you will replace aircraft and packs on a one- to three-year cadence. Your depreciation method has to match that reality, not the IRS default.
- Every job has hidden consumables. A $300 real estate shoot is not $300 of profit. Without per-job costing you will promote your lowest-margin package.

Getting Legal: Part 107 Certification Costs and How to Book Them
Under the FAA's Small UAS Rule you must hold a Remote Pilot Certificate to operate for compensation. You remain the pilot in command even when a client directs the shot, and you must have the certificate (or a temporary certificate) accessible whenever you fly.
First-Time Pilot Path
To qualify you must be at least 16, able to read, speak, write and understand English, be in physical and mental condition to fly safely, and pass the initial aeronautical knowledge exam called "Unmanned Aircraft General – Small (UAG)."
The process through IACRA and a PSI testing center looks like this:
- Create an Integrated Airman Certification and Rating Application (IACRA) profile to get an FAA Tracking Number (FTN).
- Schedule the knowledge test at an FAA-approved center and bring a government photo ID.
- Pass the UAG exam covering regulations, airspace classification, weather, loading and performance, emergency procedures, crew resource management, radio procedures, physiological factors, aeronautical decision-making, airport operations, maintenance and preflight, and night operations.

Renewal Is Free, But Not Automatic
Certificate holders must complete online recurrent training within the previous 24 calendar months to operate under Part 107. For most remote pilots that is ALC-677; for Part 61 holders with a current flight review it is ALC-515. Both are free through the FAA. Put Part 107 costs where your accountant and a future lender can find them:

- Regulatory Fees (Expense) — $5 per-drone registration. If you register five aircraft at once, book $25 to this account and set a three-year amortization reminder, or simply expense it; the amount is immaterial but the renewal deadline is not.
- Prepaid Training (Asset, if material) — If you buy a $300 course in December but test in January, park it as prepaid and expense it when you pass, keeping the deduction in the year you actually become certificated.
Do not capitalize the certificate itself. Do capitalize the drone that the certificate lets you fly for hire.
The Two Insurance Policies Clients Will Ask For
The FAA does not require insurance to fly under Part 107, but almost every commercial client does. Expect to show a Certificate of Insurance (COI) naming the client as additionally insured, often with $1 million in coverage, before you are allowed on site. Liability Insurance Protects Other People and Their Property
This is the policy that pays if your drone injures someone or damages a roof, window, or car. It does not repair your drone.

Hull Insurance Protects Your Aircraft
Hull is first-party coverage for your own gear — crash, theft, or in-transit damage to the airframe, gimbal, and sometimes attached payloads. Insurers typically charge 5% to 15% of insured value per year, with 8% to 12% the most quoted band.
Math you can use: a $5,000 airframe at 8% costs $400 per year; a $12,000 Inspire-class kit with lenses at 10% costs $1,200 per year. Hull for batteries and controllers is usually capped or excluded; read the schedule of covered equipment.
How to Book Insurance So It Does Not Distort Profit
- Prepaid Insurance (Asset) → Insurance Expense. When you pay $1,200 for 12 months, debit prepaid insurance, then expense $100 each month. Do not dump the full year into the month you paid; that makes the launch month look unprofitable and the next eleven look artificially profitable.
- Split liability and hull into separate sub-accounts if you want to allocate them per job. Hull follows the aircraft; liability follows flight hours.
- Track COIs as an operational checklist, not just paperwork. When a client requires additionally insured wording, log the COI request, the certificate number, and the expiration date. A lapsed COI can void a $3,000 invoice if the client refuses to pay without it.
- Choose on-demand vs. annual with math, not gut. If you fly four paid hours a month at $10 per hour on-demand, that is $480 per year — cheaper than a $900 annual policy. If you fly 15 hours a month, annual wins. Allocate the cost per job by flight minutes until you have a steady monthly average.
Your Fleet Is Short-Lived: Depreciating Drones, Batteries, and Ground Equipment
A drone is not office furniture that holds value for seven years. Motors wear, sensors get superseded, and a single hard landing can total an airframe. Batteries are worse: most lithium-polymer packs are rated for 200 to 500 charge cycles before capacity falls below commercial usefulness. At one cycle per workday you get a year; at two cycles a day on real estate volume you get six months.
You need two depreciation views: book depreciation for honest management reports and tax depreciation for the return.
Book Depreciation: Reflect How Fast the Gear Actually Dies
For internal profit and loss, use straight-line over the life you actually observe:
- Prosumer airframes (Mavic 3, Air 3, Mini 4 Pro class): 2 to 3 years book life; salvage $100 to $300 for parts. If you tend to upgrade on a cycle, use 24 months.
- Cinema / enterprise airframes (Inspire, Matrice class): 3 to 4 years, higher salvage because lenses and airframe retain value longer.
- Controllers, tablets, and ground stations: 3 years, often retired with the airframe they are paired to.
- Editing workstation, monitors, color calibration hardware: 3 to 5 years.
Example: Two Mavic-class drones at $2,200 each plus $800 in shared accessories = $5,200. Over 30 months with $300 total salvage: ($5,200 - $300) / 30 = $163 per month in book depreciation. That number belongs in your management P&L every month, not just when you buy.
Tax Depreciation: 2026 Is Unusually Generous
For federal tax, drones, batteries that are capitalized, controllers, computers, and other tangible equipment used more than 50% for business are generally 5-year property under MACRS GDS, with computers often 5-year as well. The timing of the deduction depends on two provisions that changed in the One Big Beautiful Bill Act:
- Section 179 expensing: For 2026 you can elect to expense up to $2.56 million of qualifying equipment placed in service, provided your total qualifying purchases for the year stay below the $6.65 million phase-out threshold. The full cost of a drone fleet almost always fits inside that limit.
- Bonus depreciation: The same law restored 100% bonus depreciation for qualifying property. That means after any Section 179 you elect, you can generally deduct 100% of the remaining basis in the first year rather than spreading it over five years.
Put together, a solo operator who buys $18,000 of drones, batteries, and computers in 2026 and uses them more than half for business can typically deduct the full business-use portion in year one under Section 179, bonus, or a combination — an unusually strong cash-flow tailwind for a capital-heavy launch year. File Form 4562 and keep a fixed-asset register showing placed-in-service dates, business-use percentage, and serial numbers. If business use drops to 50% or below, listed-property recapture rules can claw back part of the deduction.
State rules do not always conform to the federal bonus rate. A handful of states decouple or cap bonus and require an add-back on the state return. Note your state's treatment in your workpapers so your state estimate is not understated.
Batteries: Expense or Asset?
This is where drone operators most often misstate profit.
- If a battery is bundled with the drone kit and not separately tracked, and you expect to replace it within 12 months, expense the replacement packs as consumable supplies when placed in service.
- If you run a swappable pool with packs costing $150 to $250 each and you want to smooth profit, capitalize the opening pool as a fleet sub-asset and depreciate or expense on consumption. Many operators expense all batteries under the de minimis safe harbor ($2,500 per invoice or item for non-audited financials) because the unit cost falls below the capitalization threshold they have elected. Pick a written policy, keep it under $2,500 per item if you use the safe harbor, and apply it consistently.
Either way, track cycles. When a $189 pack lasts 300 flights, that is $0.63 per flight in battery cost — a number that belongs in your per-job calculation.
A Simple Fixed-Asset Register
Before the first paid flight, create these accounts:
- 1510 — Aircraft (Cost) by serial (e.g., UAS-001, UAS-002)
- 1515 — Batteries & Power (Cost) by pack ID if capitalized
- 1520 — Ground & Editing Equipment (Cost)
- 1519 / 1529 — Accumulated Depreciation (contra-asset)
- 6030 — Repairs and Maintenance for props, gimbal guards, and crash parts that are expensed
- 6040 — Consumables for batteries expensed on purchase, ND filters, memory cards
Tag every aircraft and battery to a job when it flies. When an aircraft is retired after a crash, dispose of that asset ID and record any insurance recovery as other income, not as a reduction of expense — that preserves the audit trail.

Drone work tempts you to charge by flight hour, but clients buy deliverables. Use per-deliverable pricing and keep an hourly floor behind the scenes so you do not lose money on complex sites.

- Basic real estate package (10 to 20 edited stills + 60-second video): $150 to $400 per property
- Premium real estate / twilight cinematic: $350 to $750

For each job, capture actuals, not estimates, the first dozen times until your quotes calibrate:
- Revenue: Invoice amount before sales tax and before platform fees
- Direct labor: Your own edit hours or subcontract editor cost; contract pilot cost if you hire a second operator
- Travel: Mileage at the IRS standard rate plus tolls and parking; keep a contemporaneous mileage log
- Battery and consumable allocation: Pack cost per cycle times cycles used
- Equipment allocation: Monthly book depreciation of aircraft and ground gear divided by expected jobs that month, or an hourly rate
- Insurance allocation: Monthly liability and hull divided by jobs or flight hours
- Software allocation: Monthly slice of flight planning, airspace authorization, editing, and delivery tools

A $750 twilight cinematic package often carries about $180 to $240 in total direct cost. Allocate $70 for two hours of editing, $35 for 50 miles of driving, $15 for battery and props, $25 for aircraft depreciation, $10 for insurance, $20 for software, and $25 in processing. Gross margin lands near 68% to 76%.
A $250 basic aerial package with the same 50-mile drive, one hour of editing, and the same fixed allocations often carries $120 to $150 in cost. Margin drops to roughly 40% to 52%. The takeaway is immediate: the premium package pays for the drive and the edit; the basic package does not unless you cluster jobs by geography or trim edit time with presets.
Track margin by package tier, not just by total revenue. Promote the tier that holds margin after the drive.
Invoicing and Collections
Invoice gross, then show fees and sales tax on their own lines, and reconcile the payout that actually hits the bank. If you bill $350 and the platform pays $339.50 after a 3% fee, your book should show $350 revenue, $10.50 payment processing expense, and a $339.50 deposit — not $339.50 as revenue. That three-way match — invoice, fee statement, bank deposit — is what prevents a 1099-K mismatch at year end.
If you use a subcontract pilot for overflow or for a specialized sensor, pay them as a contractor, collect a Form W-9 before the first flight, and issue Form 1099-NEC if you pay $600 or more in the calendar year. File Form 1099-K is for the payment processor; Form 1099-NEC is your obligation as the payer for services.
Sales Tax: When an Aerial Photo Is Taxable
Sales tax on drone work is state-specific and easy to get wrong because you deliver both a service (flying) and tangible or digital goods (photos, video, maps, measurements).
In many states, aerial photography as a service is taxable when the end product is delivered as a digital good, and some states tax the service itself as a photography or imaging service. When you deliver a digital download link, a cloud gallery, or an orthomosaic file, that delivery is often treated as a taxable sale of prewritten or digital property. When you fly an inspection and deliver only a written observation with no separate image transfer, some states treat it as a nontaxable professional observation — until you attach the photos, at which point the transaction becomes taxable.
Practical steps that avoid the most common audit findings:
- Determine taxability before you quote. Check the rules in every state where you take off, not just where you live. If you fly a roof in a neighboring state, that state's sourcing rules apply.
- Quote, invoice, and collect by taxing jurisdiction. List the deliverable as "aerial image license / digital files" rather than "drone flight" so the auditor sees what was actually sold.
- Do not rely on a platform to handle it. Unlike marketplace facilitator laws for goods sold through Amazon or Etsy, you are the direct seller. No platform collects on your behalf.
- Keep exemption certificates if you sell to an exempt nonprofit, government, or reseller. Without a valid certificate on file, the sale is presumed taxable.
- Track shipping of physical media separately if you deliver on a USB drive or printed prints; some states source tangible delivery differently than a pure download.
When in doubt, collect and remit and let the client claim an exemption. An assessment for uncollected sales tax comes with interest back to the job date and is not dischargeable as an income tax timing difference.
Watching Part 108 From the Books
Part 107 requires visual line of sight unless you hold a waiver. The FAA's proposed Part 108 framework for beyond visual line of sight (BVLOS) would create a separate path for routine BVLOS operations, with a stronger emphasis on automated systems, detect-and-avoid, and strategic deconfliction services. As of early 2026 that rule is in proposal and public comment, not final for most operators.
You do not need to budget for Part 108 this quarter, but you should track it in two places: a watchlist for future training or aircraft requirements that would be capitalized when mandated, and a pricing note for any client who asks about BVLOS corridor mapping or package delivery — those jobs will carry very different insurance, aircraft cost, and operational approval work than a $300 roof flight, and your rate card should not treat them as the same product.
Daily Habits That Keep You Audit-Ready
Drone businesses leave a dense paper trail. Build these five habits and a year-end close becomes a filter, not a scramble:
Separate everything. Open a dedicated business checking and card for all flight-related spend. Pay the $175 test fee, the $5 registrations, every battery, and every software subscription from that account. Reconcile weekly; a drone business that mixes personal and business spend loses the clean mileage and equipment log an auditor wants first.
Log every flight to the job, not just the sky. For each paid flight record date, location, aircraft serial, battery IDs flown, flight minutes, client, invoice number, and airspace authorization (LAANC or other). Keep the flight log and the bookkeeping entry linked by job number. If you later depreciate an aircraft, the log proves business-use percentage.
Track mileage contemporaneously. The IRS still requires a mileage log with date, destination, business purpose, and miles. A roof inspection 45 miles away and back is 90 miles; at the standard rate that is a $60-plus deduction you will forget by Friday if you do not log it at the flight.
Maintain the contractor file. Before a subcontract pilot or editor starts, collect a signed Form W-9, a copy of their Part 107 certificate, and proof of their insurance if they fly under your COI. At $600 or more for the year, issue Forms 1099-NEC by January 31. Your ability to deduct what you paid them depends on that form.
Reconcile payouts to gross, not net. Whether clients pay by ACH, card, or a platform, match the bank deposit back to the invoice and the processing statement. The gross total on your books should tie to the gross total the processor reports before fees. That single reconciliation prevents most 1099-K notices and gives you a defensible revenue number if the IRS asks.
