You translated 40,000 words for three agencies in March, you were paid $3,200 in April, and the 1099-NECs that arrive in January total $2,800 because one agency reports on a different threshold and another pays net-60 into the next year. That $400 gap is a CP2000 waiting to happen unless your books tie payer by payer.
1099-NEC Gaps Are Normal — Your Reconciliation Is the Proof
Agencies issue 1099-NEC when they pay $600+ in a calendar year. Below that, or when they pay through a marketplace, the 1099 may not match your deposits. PayPal and Wise may issue a 1099-K instead.
Book income by payer, not by deposit: Each invoice to Agency A is Dr Accounts Receivable — Agency A / Cr Revenue — Translation. Each payment is Dr Cash / Cr Accounts Receivable — Agency A. At year-end, the AR balance for each agency is your proof when the 1099 total for that payer is short.
Reconcile gross, not net: An agency that deducts a platform fee before paying you reports gross on the 1099, but you receive net. The fee is Dr Agency Fees / Cr Accounts Receivable, not a reduction of revenue. That keeps the 1099 gross tied to revenue.
Deductions That Matter for Language Professionals
- Certification and continuing education: ATA certification, court interpreter exams, and conference travel are ordinary and necessary, documented.
- CAT tools and software: MemoQ, Trados, and interpretation platforms — subscriptions and term fees, allocated correctly. A $480 annual CAT subscription is $40 per month, not a January spike.
- Home office and mileage: Interpreters who travel to courts, hospitals, and conferences track mileage per assignment with business purpose. A 38-mile round trip at $0.72 is $27.36, plus parking and tolls.
Keep Your Finances Organized From Day One
Agency income that is documented by invoice and reconciled by payer is income the IRS can match without a notice.
Beancount.io keeps each agency as a receivable customer, each 1099 as a gross-to-revenue reconciliation, and each assignment as a transaction with mileage and software. Get started for free and make the 1099 season a report, not a reconstruction.
